The following are the key actions that need to be taken for all data imports.
Requesting Agency/Organization to...
- Clarify and identify needed data; explain why it is needed, and how it is to be used
- Convey the timing of the data import requirements
- Identify if the data is to be reportable, or just referenceable – this will identify the options available for the storage and display of that data (example: this could be a pdf, form, field, etc.)
- Identify the ideal locations where the data should be captured and/or housed to that it is convenient and accessible for the agency/organization's needs (example: this could be a file, a page, a Call Center screen conversation topic, a Call Center caller profile, a Call Center call log, an account profile, referral page, a custom field, within a report, etc.)
- After receiving feedback from CCS about what can or cannot be imported and where the imported data will reside and in what format, ensure the populated data import templates properly reflect the data to be imported based on the template design, and the configurable lookup lists are setup to properly reflect the data that will be imported (invalid data will not be imported)
- Submit the data import template to CCS
- Validate the data after being informed it has been updated
Continual Care Solutions (CCS) to...
- Once informed of the data needed and the specific data needs by the agency/organization, review the desired data, data needs, and requested timing to determine to what extent CCS can accommodate the request (example: review the data and needs in regard to import procedure and tool development, the data that can or cannot be imported, the locations and format for the imported data, and the timing of the import).
- Create a template that will be used for importing the data and will provide that template to the agency/organization
- Provide feedback to the agency/organization about what can or cannot be imported based on agency/organization requests and needs, and for the data that can be imported, where that imported data will reside and in what format
- Obtain import file template(s) from the agency/organizationr and review to ensure the template has been populated with quality data (invalid data will not be imported)
- Submit the import requests via the normal CCS Development process and prioritize the needed activities for implementation
- Proceed with implementation of the import solution and notify the customer when completed
