How do I set up a Facility and Site/Location

To setup a Facility…

• Navigate to: Resources > Physical Resources > Facilities
• Click New Facility (on the blue bar towards the top right of the screen)
• Enter the Facility Name (required)
• Select the Type of Facility (required)
• Select the Status of the Facility (required)
• Optionally (highly recommended) enter the address of the facility and the contact information (and maximum occupancy, if it is a residential facility)
• Click Save – the basic facility is now created

All other items in the facility, including the profile, Staff, Clients, etc. are optional, but most only have to be entered one time so if you have the time, you might want to do that – the more detail you can enter, the more useful the facilities are.

It is also strongly recommended that you add in a new site and location corresponding to the new facility.

To setup a Site / Location…

• Navigate to Sites and Locations (Resources > Physical Resources > Sites & Locations)
• Click Edit
• Click New Site
• Enter the Facility Name as the Site (required)
• Click Save – the site is now created

NOTE: If a location called “General” has not been created, please…

• Open that page if it is not already open
• Click Edit
• Go to the site you just created
• Click on the ‘+’ to add a new location
• Enter the name General
• Select the type of the location from the drop-down list or leave blank (suggested)
• Click Save – the location is now created

The site/location is used for work orders and is used for vehicles. The locations can be created for various locations within or around the facility (you can create an unlimited number for each site). Typically, these may be things like specific exterior doors (so you know where a vehicle might be located), or specific spaces within the facility (maintenance closet, classroom 2, main foyer or hallway, lobby, etc.).
