Why isn't billing for bed checks showing up for a client?
Answer:
Bed checks may not appear in the Billing Opportunities screen if they are performed before the configured billing window. For example, if the billing window starts at 9:00 PM but the bed check is done at 8:00 PM, it won’t be captured for billing. To resolve this, update the "Configure Bed Check Times for Billing" setting to start at or before the time the bed checks are actually performed.
Real Life Example:
A user reports that the bed checks for 2 clients in one of their residential homes did not initially display in the Billing Opportunities screen but are now being captured in June after they manually changed the time of the bed check to a later time in the day. When they did that, the Bed checks for those same clients displayed for June, but not for any other month.
That same user indicated that there are 3 clients in that residential home, but the issue only occurs with these 2 clients and not the 3rd client.
Since the program (residential home) uses the same settings for all clients, we know it is not a program bed check setup issue. And since the billing works for one of the clients, that means there may be something different with that person's bed check than the others.
Investigating the bed checks, we noticed the 2 clients having the issue have different bed checks than the 3rd client - that client has bed checks earlier and later in the day.
Upon review of the Staff Action Data Log, we can see the bed check entries for these 2 clients is set for 8P. But, when we look at the Configure Bed Check Times for Billing for the residential home, we see it is set to start at 9P, lasting for 8 hours.
This means we have a situation in which the bed checks were being performed prior to the window in which they considered for billing - and because of that, they were not displaying in the Billing Opportunities page. The solution was to change the start time in the Configure Bed Check Times for Billing from 10P (22:00), to 9P (21:00) or earlier, and when that was done, the 9P Bed Checks displayed in the Biling Opportunities page.
